Privacy Policy

Accountable is an accountability and fitness platform designed to help people set goals, participate in challenges, track activity and stay accountable alongside their community.

We take your privacy seriously. This Privacy Policy explains what information we collect, why we collect it, how it may be shared, and the choices you have regarding your information.
 

1. Information We Collect

When you use Accountable, we may collect information including:

  • Account information – such as your name, email address, profile photo and account details.

  • Profile information – information you choose to provide, such as your height, starting weight, target weight and fitness goals.

  • Challenge information – challenges you join, your selected challenge level, activity targets, progress and challenge participation.

  • Activity information – activities you record, including activity type, duration, date and other activity details.

  • Progress information – information such as activity totals, challenge progress, streaks and weight check-ins.

  • Connected service information – if you choose to connect a third-party service such as Garmin, we may receive activity information authorised by you through that service.

  • Technical information – limited technical information required to operate, secure and improve the Accountable platform.

You are not required to provide optional profile or fitness information unless it is necessary for a particular feature you choose to use.
 

2. How We Use Your Information

We use your information to:

  • create and manage your Accountable account;

  • allow you to join and participate in challenges;

  • track activities, goals and challenge progress;

  • calculate relevant challenge statistics, streaks and progress;

  • display information to other members of your challenge where required for the accountability features of the platform;

  • provide coaches or challenge administrators with information required to manage their challenges;

  • operate, maintain, secure and improve Accountable;

  • communicate with you about your account, challenges or important service updates; and

  • provide support when you contact us.

We will not sell your personal information.
 

3. Challenge & Community Visibility

Accountable is designed around shared accountability.

When you join a challenge, some information may be visible to other members of that challenge or its administrators. This may include information such as:

  • your name and profile photo;

  • activity completion and activity totals;

  • challenge targets and progress;

  • streaks, rankings or other challenge statistics; and

  • other information specifically identified within the app as being shared with your challenge.

Some information is intended to remain private and will not automatically be shared with other challenge members.

Challenge administrators or coaches may have access to additional information where this is required to operate and manage a challenge.

You should only provide information you are comfortable using within the Accountable platform.
 

4. Connected Services

Accountable may allow you to connect third-party services, such as Garmin. 

If you connect a third-party service, Accountable will only request access to information required to provide the relevant integration.

Your use of those services remains subject to the privacy policies and terms of the relevant provider.

You can choose not to connect third-party services and may disconnect supported integrations where this functionality is available.
 

5. How We Store & Protect Your Information

Accountable uses third-party technology and infrastructure providers, including cloud-based services, to operate the platform and securely store information.

We take reasonable technical and organisational measures to protect personal information against loss, unauthorised access, misuse, alteration or disclosure.

However, no online service can guarantee absolute security.

Access to Accountable data is restricted according to account permissions and the functionality required to operate the platform.
 

6. Sharing Your Information

We may share information with:

  • other members of a challenge where required for Accountable's shared accountability features;

  • coaches or challenge administrators responsible for managing a challenge;

  • service providers that help us operate Accountable, such as hosting, database, authentication, analytics or integration providers;

  • third-party services you explicitly choose to connect; and

  • authorities or other parties where disclosure is required by New Zealand law.

We do not sell or rent your personal information to advertisers or other third parties.
 

7. Data Retention

We retain personal information for as long as reasonably necessary to provide Accountable, maintain our records, meet legal obligations and resolve disputes.

Where information is no longer required, we may delete or anonymise it.

Some information may remain temporarily within secure backups or be retained where required for legitimate legal, financial or security purposes.
 

8. Account Deletion

You can request deletion of your Accountable account through the account deletion functionality available within the app.

When an account is deleted, we will delete or anonymise personal information associated with that account where reasonably practicable and where we are not legally required to retain it.

Certain information may be retained where necessary for legal, security, fraud prevention, financial or legitimate record-keeping purposes.
 

9. Your Privacy Rights

Under the New Zealand Privacy Act 2020, you have rights relating to your personal information.

You may request access to personal information we hold about you and ask us to correct information that is inaccurate.

You may also contact us with questions or concerns about how your information has been handled.
 

10. Children

Accountable is not intended for children under the age of 13.

If we become aware that personal information has been collected from a child under 13 without appropriate authorisation, we will take reasonable steps to remove that information.
 

11. International Data Processing

Some of the service providers used to operate Accountable may process or store information outside New Zealand.

Where this occurs, we take reasonable steps to use reputable providers and protect personal information in accordance with applicable privacy requirements.
 

12. Changes to This Policy

We may update this Privacy Policy as Accountable develops or as our legal and regulatory requirements change.

The latest version will be published on the Accountable website with the date it was last updated.

If we make material changes that significantly affect how we use your personal information, we may also notify users through the app or another appropriate method.
